Controlling exceptions on a project is an important part of management by exception and is covered as part of the Controls component within a PRINCE2 training course.
In circumstances where the Project Manager forecasts the Stage tolerances to be exceeded then this is reported to the Project Board in the form on an Exception Report. The Project Board may in turn request an Exception Plan from the Project Manager. The Exception Plan is reviewed by the Project Board at an Exception Assessment (DP3) and if approved, gives authorisation to proceed to the Project Manager. The Project Board can always sanction the early closure of the project.
At any time during a stage, the Project Manager may need to seek ad-hoc advice or guidance from the Project Board. This is represented by DP4. When authorisation to proceed is given to the Project Manager during DP3, then the next management stage begins and the cycle continues until the end of the final stage is reached. This is when controlled close is performed.
